Introduction
We understand that some contract requires payment on or prior to pickup as a security deposit. Therefore, we have included a payment term "Payment on or prior to Pickup" in the platform. You may select this term while creating a new contract.
How to record this for invoicing purposes:
- Create a contract
- Select "Payment Terms" as "Payment on or prior to Pickup".
- Once completed, click on “Continue and Review” (bottom-right corner).
- On the Contract Preview screen, cross-check all the details.
- Click on “Submit” to proceed.
- Once the contract has been created, you can navigate to the "Invoice" section to generate a commodity contract invoice.
- Click "Generate Invoice", and select "Commodity Contract Invoice".
- To request a deposit, simply add a "Custom Item" and enter a suitable description such as "Deposit" or any label of your choice. This invoice will be captured in AgriChain and synced through to Xero.
Important:
You must create this invoice in AgriChain first. If you've already created an invoice directly in Xero, it will need to be voided and recreated in AgriChain for the data to sync correctly with Xero.
If you need to refund any excess payment, you can create a second invoice (credit note). In this case, also add a Custom Item, but apply a "Minus" modifier and enter the excess amount to be refunded.
