Managing Receivables on AgriChain

Introduction:

In our invoicing module, we've introduced a new feature to help sellers efficiently manage their receivables. This feature provides sellers with a dedicated tab called "Receivables," offering a streamlined way to track pending payments and create multiple invoices at once.

How it Works:

The Receivables tab, located alongside the existing Payables tab next to Warehouse Dashboard, offers a comprehensive view of completed movements linked to contracts where the seller or broker is responsible for invoicing the buyer. Here is a breakdown of how it functions:

How are receivables listed

The receivables modules is organised into movements grouped by customer. Those movements are displayed where

  1. The Status of the movement is "Completed"
  2. The invoicing type in the contract is "Seller to Invoice Buyer" or "Broker to Invoice Buyer"
  3. Invoice has not yet been created

Generate Invoices

Receivables allow users not only to see uninvoiced movements but also to create and send invoices to buyers in bulk:

  1. Open the invoicing module from the sidebar and click on the "Receivables" tab
  2. Here you will be able to see the various completed movements that are not yet invoiced
  3. Users can select the movements they wish to invoice using the checkboxes
  4. Clicking on "Action Selected Invoices" brings up the options to Create (and send) invoices or change payment due date for these invoices.
  5. Once invoiced the movements will be removed from this screen and the invoiced will be visible in the "Active" tab

Salient Features:

  1. Grouping by Buyer: Movements are grouped by buyer, allowing sellers to easily organise and track pending payments from different buyers.
  2. Filtering by Payer: Users can filter movements based on the payer, providing more flexibility in managing receivables.
  3. Bulk Invoice Creation: Similar to the Warehouse Dashboard, sellers can create multiple commodity invoices at once, streamlining the invoicing process.
  4. Only Unpaid Listed: Movements that have been invoiced are automatically removed from the Receivables view, keeping the information current.
  5. Movements with Voided Invoices: If an invoice is marked as void, it will reappear in the Receivables tab, ensuring that no pending payments are overlooked.
  6. Adaptation to Contract Amendments: If a contract is amended and the invoicing type is changed, draft invoices are automatically updated: to ensure only movements with above mentioned invoicing types are shown.

Frequently Asked Questions

Why Can't I See a Movement in the Receivables Tab?

There are several reasons why a movement may not appear in the Receivables tab:

  1. Incorrect Movement Status: Movements must be in the "Completed" status to be displayed in the Receivables tab. If a movement is still in progress or pending completion, it will not appear until it meets the necessary criteria.
  2. Invoicing Type: The movement must be linked to a contract where the invoicing type is specified as "Seller to Invoice Buyer" or "Broker to Invoice Buyer" and has not yet been invoiced. Movements with different invoicing types will not be visible in the Receivables tab.
  3. Contract Association: Ensure that the movement is associated with the correct contract. If the movement is not linked to any contract or is associated with a different contract type, it may not appear in the Receivables tab.
  4. Filter Settings: Check the filter settings in the Receivables tab to ensure that movements are not being inadvertently excluded based on payer criteria or other parameters.
  5. Recent Changes: If there have been recent changes to contract parameters or invoicing types, it may take some time for the system to update and reflect these changes in the Receivables tab. Refresh the page to get the latest data
