Introduction

AgriChain empowers its subscribing companies with tools to manage and control activity across their operational sites, commonly referred to as AgriChain-managed sites. These permissions ensure that each company maintains authority over key processes such as order handling, freight movements, and slot bookings.


Below is a detailed overview of how permissions and restrictions may apply across different areas of the platform:


Orders

Order creation and management processes may vary depending on the preferences and policies set by each AgriChain-managed site.

  • Order Approval Requirements
    Some companies require internal approval before an order can be fully processed. This is part of their internal workflow and is not managed by AgriChain itself. If you're unsure whether your order requires approval, please reach out to your site contact or the relevant company representative.

  • Freight Allocation for Subcontractors
    If you have received an order through AgriChain and plan to subcontract (or "sub-allocate") that order to a third party, commonly referred to as a “subbie”, you must use the Freight Allocation feature. This ensures that all parties are correctly recorded and managed in the system and bypass the approval process as the parent order has already been approved. 

  • Restricted Order Edits
    Some companies may lock down the ability to amend orders after creation. This helps maintain strict version control and ensures accuracy. If you are unable to edit an order and believe changes are necessary, you must contact the relevant company directly for assistance. AgriChain support cannot override these permissions.


Movement (Load Processing)

Sites that have enabled Stock Management take full responsibility for processing freight movements in and out of their facilities.

  • Controlled Load Processing
    When Stock Management is active at a site, only employees of that site are authorised to process loads, which includes adding inloads or outloads. If you are a counterparty (e.g., a transporter or subcontractor), you will not have the permissions required to make changes to these records.

  • Common Error Message
    If you attempt to edit a load and receive the message: “Loads for this site can only be edited by site employees”, this means your access is restricted by the site's configuration. In this case, you’ll need to contact the site to proceed with any updates or corrections.


Slot Booking

Slot booking is an essential component of site scheduling, and companies may enforce specific rules regarding cancellations and changes.

  • Cancellation Restrictions
    Some AgriChain-managed sites enforce a strict cancellation policy, particularly within a defined window (e.g., 24 hours before the booked time). If your booking falls within this restricted window, you may be unable to cancel or alter it through the platform.

  • Who to Contact for Booking Issues
    These slot management rules are set by the site itself, not AgriChain. If you are unable to cancel or reschedule your booking and require assistance, you will need to get in touch directly with the site in question.

What is the system designed to do regarding slot management and cancellations?

The system is designed to prevent suppliers from simply cancelling or moving their bookings back each day, instilling discipline, accountability, and communication. It forces suppliers to communicate the reason for cancellation within 24 hours of their delivery time, making you aware of the issue. This ensures control of crucial slots and allows procurement teams to log cancellation reasons for future use in negotiating freight contracts or choosing providers.
