Freight Order Form Explained
General Section
- Quick Order: Save time with the "Quick Order" option, which allows you to copy the template of an existing order for faster form filling.
- Select Freight Order Type:

Counter Parties:
- Define Customer and Freight Provider: Specify the customer name and freight provider.
- Add New Entities: Use the "+" button next to the customer name or contract to add a new entity if it's not already on the platform.
Freight Order Details:
- Provide Specifics: Enter details such as commodity, variety, tonnage, grade, and season to accurately describe the freight order. All the entities are explained below.
Commodity:
- What is it? This refers to the type of goods or products being transported.
- Why is it important? Accurate commodity information ensures that the right products are transported, preventing confusion and errors.
Variety:
- What is it? This indicates the specific subtype or variation within a commodity.
- Why is it important? Different varieties may have unique characteristics affecting transportation and handling requirements.
Tonnage:
- What is it? Tonnage represents the weight of the shipped goods.
- Why is it important? Accurate tonnage is crucial for logistical planning and ensuring that the transportation capacity is sufficient.
Grade:
- What is it? Grade refers to the quality or standard of the shipped goods.
- Why is it important? Different grades may have different transportation and storage requirements.
Season:
- What is it? Season indicates the specific growing season or harvest time of the commodity.
- Why is it important? Seasonal variations may impact transportation schedules and storage conditions.
Pickup Details:
- Define Pickup Site: Specify the exact site where the grain will be picked up.
- Define Delivery Site: Specify the exact site where the grain will be delivered.
- Specify Pickup Storage: Indicate the storage facilities available at the pickup site.
- Specify Delivery Storage: Indicate the storage facilities available at the delivery site.
- Specify the delivery start date and end date: Set the time frame for the delivery. Specify when the delivery process starts and when it is expected to conclude. This information helps in coordinating schedules effectively.
Freight Contact Details:
- Invoicing Options: Choose how invoicing will work. Options included:
- Freight Provider to Invoice Customer
- Customer RCTI (Recipient-Created Tax Invoice)
- Additional Entities: Fill in optional details like freight rate and payment terms.
Other Conditions:
- Define Terms and Conditions: Specify any terms and conditions relevant to the freight order.
Internal Notes:
- Add Notes: utlise the "Internal Notes" section at the end to include any additional notes associated with the order.
Finalising the Order:
- Click "Continue and Review": After providing all necessary details, proceed by clicking on the "submit" button after reviewing all the filled-in details.
